Retirement System Administrator

The Retirement System Administrator is responsible for managing and coordinating all aspects of the retirement benefits system within an organization. This includes the accurate processing of retirement applications, maintenance of participant records, computation of benefits, and ensuring compliance with all applicable federal, state, and organizational regulations. Serving as the primary point of contact for employees and retirees, the administrator facilitates seamless communication between sections, such as human resources and payroll, while continuously seeking process improvements to enhance service delivery and data integrity.

Typical Functions:

Oversee the daily operations of the retirement benefits system, ensuring that all retirement applications are processed accurately and in a timely manner. Maintain and update comprehensive participant records and databases to ensure data accuracy and confidentiality. Calculate retirement benefits accurately by reviewing employee work histories, salary records, and service credits. Manage the disbursement process for retirement payments and other benefit-related transactions. Serve as the first point of contact for employees and retirees, providing detailed guidance on retirement benefits, eligibility requirements, and the application process. Organize informational sessions and develop support materials to educate participants on available retirement options and changes in regulatory policies. Interpret and apply relevant retirement laws, industry standards, and internal policies to ensure full compliance in all operational processes. Coordinate with internal and external auditors during regulatory reviews and prepare necessary documentation for audits. Analyze system performance and participant data to identify areas for procedural enhancement and operational efficiency. Generate detailed reports on retirement activity, benefit disbursements, and compliance metrics for senior management and regulatory bodies. Collaborate with human resources, payroll, and benefits administration teams to streamline operations and resolve any system-related issues. Act as the liaison with external vendors or government agencies related to the administration of retirement benefits.

Knowledge, Abilities, and Skills:

Strong analytical skills and a meticulous approach to managing and verifying detailed records and computations. Excellent written and verbal communication abilities to clearly explain complex retirement information and respond to inquiries professionally. Competence in using standard office software (e.g., Microsoft Office Suite) and a willingness to learn specialized retirement management systems. A strong customer service orientation with the ability to work collaboratively with a wide range of personnel across an organization. Effective time management and the ability to prioritize multiple tasks in a fast-paced environment, ensuring accuracy and adherence to deadlines.

Minimum Qualifications:

Bachelor’s degree in Business Administration, Public Administration, Finance, Economics, Accounting, or a related field. Minimum of 10 years of progressively responsible experience in benefits administration, retirement system management, or a related field. Proven track record in managing complex retirement benefits programs within a state, municipal, or large-scale organizational environment may be required.
