Military Program Specialist

The Military Program Specialist serves as a support role within military or defense-related program offices, providing essential administrative, logistical, and operational assistance to program coordinators and managers. Typical Functions:

Assist with daily administrative tasks such as data entry, filing, and maintaining accurate records and databases related to program activities. Prepare, format, and distribute program-related documents, memos, meeting minutes, and reports. Support program coordinators in scheduling events, training sessions, and meetings. Help manage calendars and coordinate logistics for military program events and workshops. Serve as a point of contact for program participants, answering phone calls, responding to emails, and addressing routine inquiries promptly and professionally. Aid in the preparation and setup for program events, briefings, and outreach initiatives that directly benefit military personnel, veterans, and their families. Assist in maintaining inventory and ordering of supplies, equipment, and program materials. Maintain accurate logs of program participation, attendance, and resource usage. Contribute to periodic reporting requirements by gathering data and preparing preliminary summaries for review by senior personnel. Uphold policies and protocols established by the military organization and respect confidentiality when handling sensitive information.

Knowledge, Abilities, and Skills:

Strong written and verbal communication skills to interact with military personnel, civilian personnel, and program participants. Basic knowledge of Microsoft Office applications (Word, Excel, Outlook, and PowerPoint) and familiarity with standard office equipment. Ability to work collaboratively as part of a team, while also functioning independently. Eagerness to learn new skills and adapt to evolving program needs and changing military protocols. Commitment to handling sensitive information with discretion and maintaining the highest standards of confidentiality.

Minimum Qualifications:

High School Diploma or GED. Minimum of 4 years of experience in an administrative or program support role. Candidates will typically receive comprehensive on-the-job training to become familiar with military procedures, program management systems, and administrative best practices. Satisfaction of the minimum qualifications, including years of experience and service, does not entitle employees to automatic progression within the job series. Promotion to the next classification level is at the discretion of the department and the Office of Personnel Management, taking into consideration the employee’s demonstrated skills, competencies, performance, workload responsibilities, and organizational needs.
