The Licensing Specialist is an entry-level position responsible for processing applications for licenses, certifications, and permits within a state government agency. The Licensing Specialist ensures that applications meet all requirements, verifies information, and prepares documentation for approval. This position is crucial for maintaining the integrity of the licensing process and ensuring compliance with state regulations.

Special Job Requirements:
Typical Functions:
Process and review applications for licenses, certifications, or permits, ensuring all necessary documentation and fees are included. Verify applicant information and conduct background checks to ensure eligibility for licensure. Communicate with applicants to clarify any missing or incomplete information and provide guidance on the application process. Maintain accurate records of licensing activities, ensuring timely and accurate data entry into state databases. Respond to inquiries from applicants, licensees, or the public regarding licensing requirements and the status of applications. Assist in the preparation of reports and documentation related to licensing activities. Ensure compliance with state laws, regulations, and agency policies throughout the licensing process. Assist in the development of public education materials to help applicants understand licensing requirements and processes. Monitor deadlines for application submissions and ensure that all licenses are processed within established timeframes. Assist in gathering and organizing data for audits or reviews related to licensing operations.
Knowledge, Abilities, and Skills:
Knowledge of basic office procedures, record-keeping, and customer service principles. Ability to understand and apply state licensing laws, regulations, and policies. Strong attention to detail to ensure the accuracy of application information and documents. Excellent written and verbal communication skills, including the ability to explain requirements to applicants clearly and professionally. Organizational skills and the ability to manage multiple tasks and deadlines. Basic problem-solving skills to address application issues or concerns. Ability to work independently and as part of a team. Ability to handle confidential information with integrity and professionalism.
Minimum Qualifications:
High school diploma or equivalent. Minimum of one year of experience in administrative support, customer service, or a related field. Satisfaction of the minimum qualifications, including years of experience and service, does not entitle employees to automatic progression within the job series. Promotion to the next classification level is at the discretion of the department and the Office of Personnel Management, taking into consideration the employee’s demonstrated skills, competencies, performance, workload responsibilities, and organizational needs.
