Library Specialist

The Library Specialist is responsible for providing administrative and clerical support to ensure the efficient operation of the library. This role involves handling a variety of tasks, including managing records, coordinating schedules, assisting library patrons, and supporting internal library personnel. The library specialist plays a crucial role in maintaining an organized and welcoming environment, contributing to the overall success of the library.

Special Job Requirements:

Typical Functions:

Provide administrative support to library personnel, including managing correspondence, filing, and record-keeping. Handle phone calls, emails, and in-person inquiries from a variety of assorted personnel. Schedule and coordinate meetings, events, and appointments for library personnel. Assist in the preparation and distribution of library materials, such as newsletters, flyers, and reports. Maintain accurate and up-to-date records of library activities, inventory, and circulation. Assist with the organization and maintenance of library collections, including cataloging, shelving, and inventory management. Provide support for library programs and events, including setup, registration, and promotion. Support the use of library technology by assisting library personnel with computers, digital resources, and software. Maintain a clean, organized, and welcoming library environment. Strong organizational and time-management skills. Effective communication and interpersonal skills. Attention to detail and accuracy in record-keeping and data entry.

Knowledge, Abilities, and Skills:

Strong customer service skills and the ability to assist with varying needs. Flexibility and adaptability to changing library needs and situations. Empathy and patience in dealing with a variety of assorted personnel. Basic understanding of digital resources and information technology. Knowledge of library principles and practices.

Minimum Qualifications:

High school diploma or equivalent. Satisfaction of the minimum qualifications, including years of experience and service, does not entitle employees to automatic progression within the job series. Promotion to the next classification level is at the discretion of the department and the Office of Personnel Management, taking into consideration the employee’s demonstrated skills, competencies, performance, workload responsibilities, and organizational needs.
