IT Project Coordinator

The IT Project Coordinator provides administrative and operational support for technology projects within a state government agency. This role is responsible for tracking project progress, coordinating communication, maintaining documentation, and assisting project managers to ensure smooth execution of IT initiatives. This entry-level position serves as a stepping stone for individuals pursuing a career in IT project management, offering exposure to state government technology operations and best practices.

Typical Functions:

Assist IT Project Managers with planning, scheduling, and monitoring project activities. Track tasks, deliverables, and deadlines to ensure timely project execution. Maintain project documentation, including status reports, meeting notes, and risk logs. Organize and facilitate project meetings, prepare agendas, and document key takeaways. Serve as a point of contact for project-related inquiries, ensuring timely responses and updates. Coordinate with technical teams, vendors, and state agencies to ensure project alignment. Prepare and distribute progress reports, presentations, and communication materials for stakeholders. Assist in ensuring compliance with state IT policies, security standards, and procurement regulations. Help identify potential risks or roadblocks and escalate concerns to project leadership. Support data collection and reporting efforts related to project performance and success metrics. Utilize project management software to track project progress. Assist in maintaining IT inventory, system documentation, and vendor contracts as needed. Support IT teams with testing coordination, user training, and system deployment logistics.

Knowledge, Abilities, and Skills:

Basic knowledge of IT project management principles. Proficiency in Microsoft Office Suite and project tracking tools. Ability to interpret and organize technical information into clear reports and documentation. Strong data entry, reporting, and analytical skills to support project decision-making. Ability to juggle multiple priorities and meet deadlines. Accuracy in maintaining records, tracking progress, and documenting project updates.

Minimum Qualifications:

Minimum of one year of experience in project management engineering, systems administration, or a related field. Satisfaction of the minimum qualifications, including years of experience and service, does not entitle employees to automatic progression within the job series. Promotion to the next classification level is at the discretion of the department and the Office of Personnel Management, taking into consideration the employee’s demonstrated skills, competencies, performance, workload responsibilities, and organizational needs.
